Matrikkeli privacy notice

This is a register and privacy notice in accordance with the henkilötietolaki (the Personal Data Act, sections 10 and 24) and the EU General Data Protection Regulation (GDPR). Drawn up 16.05.2018. Last modified 08.07.2026.

This privacy notice describes how the data of the users of the Matrikkeli is collected, used and processed.

3. Name of the register

Prodekon jäsen- ja alumnirekisteri (Prodeko’s member and alumni register)

The register serves as the joint member register of Tuotantotalouden Kilta Prodeko ry and Prodekon Alumni ry, as well as the data source for Prodeko’s electronic and printed matrikkeli.

The purposes of the processing of the personal data in the register and the legal bases of the processing (GDPR Article 6) are:

  1. Enabling the activities of Tuotantotalouden Kilta Prodeko ry – legal basis: legal obligation (yhdistyslaki (the Associations Act) 503/1989, section 11) and legitimate interest
  2. Enabling the activities of Prodekon Alumni ry – legal basis: legitimate interest
  3. Promoting contact between members – legal basis: legitimate interest
  4. Collecting and maintaining statistical data concerning the placement in working life of students who have graduated from Aalto University’s industrial engineering and management degree programme – legal basis: legitimate interest
  5. Maintenance of the member register required by section 11 of the yhdistyslaki (the Associations Act, 503/1989) – legal basis: legal obligation

5. Data content of the register

At a minimum, the data subject’s full name, place of residence, email address and information on membership of Tuotantotalouden Kilta Prodeko ry and Prodekon Alumni ry are stored in the register. For members of Tuotantotalouden Kilta Prodeko ry, the year in which the membership began, information on membership fees and information on membership of Aalto-yliopiston ylioppilaskunta (the Aalto University Student Union) are also stored.

Other data consistent with the purposes of use of the register may also be stored in the register, for example date of birth, address details, contact details, work experience or areas of professional expertise, as well as other data that the data subject has provided for the register.

In addition, data relating to the personal matrikkeli may be stored in the register without the separate consent of the data subject, unless the data subject has prohibited the storing of data concerning themselves. The data subject may update and delete their other data if they wish, and manage the visibility of this data to other users of the matrikkeli.

The data subject may delete all data relating to themselves by contacting the controller. A deletion request is at the same time interpreted as a notice of resignation from Tuotantotalouden Kilta Prodeko ry or Prodekon Alumni ry.

6. Regular sources of data

The sources of data are the data collected in connection with the membership applications of Tuotantotalouden Kilta Prodeko ry and Prodekon Alumni ry, the data reported by the data subjects themselves, the data supplied by Aalto-Yliopiston Ylioppilaskunta (the Aalto University Student Union) on those who have paid the membership fee of Tuotantotalouden Kilta Prodeko ry via the student union, and the data supplied by Aalto University’s Department of Industrial Engineering and Management on those who have graduated from the industrial engineering and management degree programme.

7. Regular disclosures of data

Data in the register is disclosed to Prodekon Alumni ry to the extent that it is warranted by the purposes of use of the register.

The data in the register is published in Prodeko’s electronic matrikkeli at https://matrikkeli.prodeko.org. Access to Prodeko’s electronic matrikkeli is available only to persons included in the register. The data in the register may also be published in Prodeko’s printed matrikkeli. The data subject has the right to prohibit the publication of their data, in both the electronic and the printed matrikkeli, either partly or entirely.

Members of Tuotantotalouden Kilta Prodeko ry and members of Prodekon Alumni ry have the right, under section 11, subsection 2 of the yhdistyslaki (the Associations Act), to inspect information on the names and places of residence of the members belonging to their association.

Sharing data with Aalto University

Data in the register may be disclosed to Aalto University in accordance with the purposes of use of the register. The disclosure is based on the controller’s legitimate interest and on the cooperation between Prodeko and Aalto University. Data may be disclosed for example for the purposes of alumni activities, student recruitment and the development of degree programmes. With regard to the disclosed data, Aalto University acts as an independent controller in accordance with its own data protection practices.

8. Transfer of data outside the EU or the EEA

Data is not transferred or disclosed outside the European Union or the European Economic Area.

9. Principles of protection of the register

The data stored electronically in the register is protected in accordance with the general and good practices of the field. Access to the register is restricted to the board of Tuotantotalouden Kilta Prodeko ry, the board of Prodekon Alumni ry, and persons authorised for a specific purpose by the board of Tuotantotalouden Kilta Prodeko ry.

Any manual material is kept in a locked space, to which only the members of the board of Tuotantotalouden Kilta Prodeko ry have access.

10. Rights of the data subject

The data subject has the following rights relating to the processing of their personal data:

  1. Right of access to the data (right of inspection): the data subject has the right to obtain confirmation as to whether personal data concerning them is being processed and, if it is, the right to obtain a copy of the data.
  2. Right to rectification of data: the data subject has the right to demand the correction of erroneous or incomplete data.
  3. Right to erasure of data (“the right to be forgotten”): the data subject has the right to request the erasure of their data when the data is no longer needed for the original purpose of use.
  4. Right to restriction of processing: in certain situations the data subject has the right to request the restriction of the processing of their personal data.
  5. Right to transfer the data from one system to another: the data subject has the right to obtain the data concerning themselves in a machine-readable format.
  6. Right to object to processing: the data subject has the right to object to the processing of their personal data when the processing is based on legitimate interest.
  7. Right to lodge a complaint with a supervisory authority: the data subject has the right to lodge a complaint with the tietosuojavaltuutettu (the Data Protection Ombudsman) if they consider that personal data has been processed contrary to the data protection regulation.

Requests must be sent in writing to the controller (section 2). The controller responds to requests within the period laid down in the EU data protection regulation, as a rule within one month.

11. Retention period of the data in the register

Only the data of persons who are members of either Tuotantotalouden Kilta Prodeko ry or Prodekon Alumni ry is kept in the register. The data of persons who have resigned from or been expelled from the associations is deleted from the register within a reasonable time, at the latest one month after the decision on resignation or expulsion.

12. Automated decision-making and profiling

No automated decision-making or profiling is carried out in the register.
